User Authentications

Overview

The User authentications section in the Control Panel provides a centralized administrative view of all individual user authentications across the current project.

When connectors are configured with Individual User Authentication (IUA), users authenticate with their own credentials in the connected external systems. This section allows administrators to monitor authentication statuses, verify token validity, and revoke stored tokens across all users and connectors from a single location.

Permissions

Permissions: Administrators only

Access to the User authentications section in the Control Panel is restricted to users with the Administrator role.

The User Authentications List

To access the User authentications list:

  1. In the Smart Flows Project Console, open Control panel.

  2. Select User authentications.

Available Columns

The list displays the following information for each stored user authentication:

Column

Description

Connector

The name of the connector associated with the authentication. Selecting the connector opens its configuration page.

User name

The display name of the Smart Flows user. Selecting the user name opens the user details page.

Expires on

The date and time when the current authentication token expires.

Status

The current connection status of the user's stored token (see Authentication Statuses).

Enabled

Indicates whether Individual User Authentication is enabled for the connector and user.

Last Refreshed

The timestamp of the most recent successful token refresh.

Created at

The timestamp when the user authentication record was initially created.

Authentication Statuses

The Status column reflects the state of the user's connection:

Status

Meaning

Connected

A valid authentication token is stored. The user can execute interactive flow steps using their external identity without being prompted.

Disconnected

No valid token is available (for example, if the token expired or was revoked). The user is prompted to authenticate the next time a flow step requires it.

Unavailable

Individual User Authentication is disabled or not supported for this user and connector combination.

Managing User Authentications

Revoking a Token

When an administrator revokes a user's stored token, Smart Flows removes the active authorization. The user will be required to re-authenticate the next time they run a flow that interacts with that connector.

To revoke a stored user token:

  1. Open Control panel > User authentications.

  2. Select the checkbox next to the target user authentication record.

  3. In the toolbar, select Revoke.

Note: Revoking a token affects only the selected connector for that user. Other connector authentications remain unchanged.

Filtering and Customizing the View

Administrators can manage the view using the toolbar options:

  • Filter: Filter the list by specific connector names or user names.

  • Select columns: Show or hide optional timestamp columns (Last Refreshed, Created at).

  • Refresh: Reload the list with the latest token statuses from the server.
